The incumbent will be responsible to provide telephone communication, general reception, information and registry services ensuring high quality and accuracy of work. The Receptionist promotes a client-oriented approach, tact and ability to perform the following:
DUTIES/RESPONSIBILITIES
1. Manage the reception area to ensure effective telephone and mail communications both internally and externally during office hours to maintain professional image of the office
2. Monitor all visitors to the office; assistance to visitors by providing directions and accurate information.
3. Operate and manage the telephone switchboard and weekly check and test all telephone lines;
4. Set up, update and maintain the important contacts in directory.
5. Ensure provision of effective mail management focusing on receipt, registration, stamping and forwarding of incoming faxes, letters and other correspondence to concerned unit/officer;
6. Register and dispatch of the outgoing communications including letters, incoming and outgoing mails for record and verification;
7. Perform any other duties as required or assigned by the Chief Executive and the Administrative Officer.
Required Skills
Good oral and written communication skills in English and Urdu are essential.
Good interpersonal and communication skills
Knowledge of MS Office (Word, Excel, PowerPoint and Outlook) as well as any other IT related matters
Working experience with the organization of good repute for minimum 1 to 2 years will be an additional asset.
Personal Skills/Qualities
Ability to work independently with minimal supervision as well as in a team environment
Ability to work under pressure yet delivers on time with attention to detail and accuracy.
