Responsible for all HR functions of the organization. In addition working closely with managers and staff within the organization and responsible for providing advice, assistance and follow on organizational policies, procedures and documentation.Duties and Tasks Recruitment & Selection Ensuring transparent, fair and best recruitment and selection processes and ensure that the process is followed in accordance with all procedures prescribed in the HR Manual. Coordinate with project implementation units regarding requirement and replacement of new staff, posting vacant positions on job sites and preparing job advertisements for newspapers. Short listing of job applicants, schedule and conduct interviews for short listed candidates with Senior Executive Officer HR& Admin. Coordinating & scheduling for interviews and tests between candidates and panel members. Make employment contracts for new inductions and coordinating with project implementation unit managers regarding orientation of new employees and briefing them about organization’s SOPs and policies. Responsible for Reference checks and related requirements. Responsible for making comprehensive Induction plan for new joiners. Maintain CV files. Emergency based hiring Assist in managing extensive hiring in Emergency based Projects and getting on board competent project team for emergency relief activities Short listing, formulating interview panels; reference checks; selection of team and training & orientation Role in Performance Management Responsible for ensuring that all staff members Performance appraisals are done within time and all staff members are well oriented on it. Responsible for staff increment and promotions in close coordination with Performance Managers on basis of Performance appraisals Role in Training and Development Devising staff trainings and requirements with department heads for new training opportunities, capacity building workshops, identification of cost effective Learning and Development opportunities and their implementation. Maintaining a comprehensive record of all trainings of staff with their cost implications. HR Record Management and Correspondence Maintain employee files EDRs for individual project implementation units.. Issue transfer, promotion, salary increment, warning, termination and other letters required for office correspondence. Role in HR Operations & Staff Benefits Preparing payroll of all employees. Managing Employees Attendance & Leave Records. Monthly reporting to Senior Management on all HR related issues including complete information of new staff, staff left, existing HR status etc. Management of employee’s employment contracts, consultant contracts, and employee related documentation and record keeping. Health & Life Insurance, EOBI, Provident Fund Remuneration Coordinate with finance department in revising salary bands. Prepare list of monthly staff inductions and separations to be handed to finance department for making salary sheets. Receive requests for advance salary from employees in different centers and forward them to finance department. Review probation evaluation forms of employees and discuss performance of employees with concerned managers before issuing employment confirmation letters. Review individual performance appraisal forms of field workers. Coordinate with project implementation managers and field supervisors in nominating workers for “best employee award” Point out workers having poor rating on evaluation forms and assist Senior Executive Officer in identifying reasons for performance gaps
