Administrative & Personnel • Expense budget preparation & control of Region 2 Islamabad, Multan, & Peshawar branches, health facilities, procurement matters, security & safety equipment. • Office Rental Agreements, Renewals & Payments etc. Keeping record. • Maintenance of all personal records, staff welfare matters, overtime, staff training program & maintenance of company fleet of vehicle. • Maintenance & Up-Keep o Monitoring basic housekeeping of the office. Inclusive of coordination with various contractors in reference to maintenance and repair work of the office and its assets. o Responsible for maintaining logs of all company vehicles allotted to employees inclusive of maintenance and insurance claims. o Supervision of the administrative tasks of the various company sites inclusive of warehouses. o Safety and Security of Premises. • Stock & Office Supplies o Maintain a record of all administrative supplies inclusive of stationary, kitchen and janitorial supplies. o Handle all stationary requests inclusive of monitoring allotted supplies via logging of supplies handed over to each department and their respective costs. • Vendor / Billing o Record keeping of all vendor and contractor bills inclusive of utility bills. o Coordination with all vendors in reference to quotations and requisitions. o Reconciliation of vendor bills against services rendered. • Travel Management o Coordination with travel agents in reference to travel arrangements domestic and international in compliance with the Company policy. o Ability to research and utilize cost effective methods for travel arrangements. • Misc. Activities o Generator Log, Maintenance & Fueling etc. o Maintenance of daily employee attendance and leave records. o Supervision of all administrative and janitorial staff. o Handling & checking daily petty expenses. o Liaison with Govt. Authorities & their representatives. o Filing and maintenance of various company contracts and official documents. o Mail handling Reports • Leaves & attendance records for all stations. • Preparation budget. Monitoring budget analysis with daily, weekly & monthly petty cash expense statements. • Monthly stationery supplies statement. • Weekly kitchen & janitorial supplies statement. • Vehicles records with user & entire maintenance Accounts Related Jobs • Reporting to General Manager Up-country. • Look after all company accounts in Regional Up-country office, Islamabad. • Look after the Branch Accounts. • Set the all Up-country offices admin expense Budget. • Preparing the Daily Collection Report. • Preparing the Monthly Collection Report. • Preparing the Monthly Expense Report of All Up-country offices. • Preparing the Monthly Progress Report of All Up-country offices. • Preparing the Quarterly and Annually Progress Report for H.O meetings. • Maintaining Company Bank Accounts. • Bank reconciliation. • Maintains Company Foreign Currency Accounts in Islamabad Branch. • Preparing monthly OTS reports. • Preparing Customer OTS reports and checks the Recoveries. • Set the load & revenue budget for All Up-country offices for export & Import.
